Administrative Manager
Summary
This position is part-time 21-24 hours per week. Some evening hours may be required.
Reports to: Executive Director
Status: Hourly, non-exempt
Duties and Responsibilities
Personnel
Responsible for reporting payroll, maintenance of personnel files.
Responsible for scheduling and coordinating staff time to ensure office coverage during business hours.
Tracks employee hours for calculation of paid-time-off and ensure payroll stays within budget.
Finance and Accounting
Bookkeeping, invoicing, and preparation of deposits and payments for the Treasurer and maintaining up-to-date financial records.
Working with accounting firm on preparation of 990 tax return and annual compilation.
Implementing accounting best practices to reduce possible fraud and/or fiscal malfeasance.
Forecasting, cash flow and cost benefit analysis.
Reviews proposed expenditures to maintain expenses within budgeted amounts. Brings any items
that are not within the budget to the attention of the Director.
Other
Plans annual event calendar and prepares schedule so that timelines are met.
Assists in the development of Mission Statement and Strategic Plan as needed.
Identifying vendors and maintaining vendor relations.
Seeks ways to reduce spending while maintaining the level of service consistent with Director’s expectations.
General office duties, answering phones, handling visitor and volunteer queries.
Other duties as assigned.
Requirements and Qualifications
Computer literate and familiar with non-profit accounting and bookkeeping software packages
Experienced in budgeting, planning, forecasting and analysis
Able to work independently as necessary
